Position: Logistics Assistant – Fleet
Reports to: Logistics Coordinator
Supervision of: None
Duty station: Jigjiga
Travel: 50%

RESPONSIBILITIES
- Role and responsibilities
The purpose of the Assistant position is to day to day implementation of the support functions responsibilities.
Generic responsibilities (max 10)
These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work and Development plan.
- Adhere to NRC policies, tools, handbooks and guidelines
- Assist with the implementation of the logistics function portfolio according to plan of action
- Prepare weekly, monthly and daily activity plans to Supervisor.
- Prepare and develop status reports as required by management
- Ensure proper filing of documents both in hard copy and in the cloud.
- Promote and share ideas for improvement of the support function.
- Ensure smooth running of office transportation.
- Compile departmental weekly movement plans and assign as per the program requirement.
- Follow up on vehicle conditions and report on required actions.
- Follow up on vehicle maintenance schedules and take required action.
- Provide monthly fleet report for the overall country
- Provide technical support and conduct spot checks for area offices
- Conduct liaison activities as instructed by supervisor.
- Provide dashboard reports on the current fleet locations.
- Follow up on vehicle legal documents, insurance, third party and annual inspections.
- Train the drivers and follow up on their reporting qualities.
Specific responsibilities
These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus and type of programme intervention. This section shall be revised whenever a new employee is hired or the context changes significantly.
- Periodically report on fleet status.
- Manage the drivers, coach and guide.
- Plan, schedule and monitor transport of material/equipment according to demands and procedures
- Implement and maintain a filing system for all assets, stock and inventory documents according to procedures.
- Work closely with program staff, finance staff, and procurement.
- Coordinate movement plans.
Critical interfaces
By interfaces, NRC means processes and projects that are interlinked with other departments/units or persons. Relevant interfaces for this position are:
• Finance department (FC, Officer and Assistant) for close working relation.
• All programs (for the issues of vehicle movement)

QUALIFICATIONS
Generic professional competencies:
- Experience from working as a Logistics/Fleet in a humanitarian/recovery context
- Previous experience from working in complex and volatile contexts
- Documented results related to the position’s responsibilities
- Knowledge of English and other local language
Context/ Specific skills, knowledge and experience:
- At least two years’ experience in an international NGO.
- Degree in logistics/Management/Marketing/supply chain or any other related knowledge or diploma with same field
- Demonstrated ability to transfer knowledge to diverse people through formal and non-formal methods
- Analytic and computer skills, including MS Office (Word, Excel, Outlook, PowerPoint, Access,
