About COOPI

COOPI- Cooperazione Internazionale is an Italian humanitarian non-governmental organization founded in 1965. COOPI aims to help the world’s poorest to improve their access to healthcare, food, and financial security, and to overcome their special vulnerability to wars, civil conflicts and natural disasters. For more than 50 years of long-term support and constant presence in the field, COOPI has been engaged in breaking the cycle of poverty and responding to specific emergencies in numerous sectors, including Food Security, Humanitarian Aid, Health, Socio-Economical Services, Water and Sanitation, Human Rights, Education and Training, Migrations and Sustainable Energy.

COOPI in Somalia

COOPI has been active with its humanitarian and resilience programs in Somalia since 1984. COOPI has been implementing emergency and long-term resilience building projects including food security & livelihoods, water and sanitation and health, to improve the living conditions of thousands of vulnerable families.

COOPI has been providing response and supporting the most basic and pressing needs of communities in Southwest State, South Central, Banadir, Jubaland and Somaliland. COOPI has a long-standing presence in those locations providing both emergency humanitarian support and building resilient livelihoods through a multi-sectoral approach with specific focus on crisis affected populations. COOPI’s main operational and coordination offices are located in Mogadishu, Baidoa and Dollow. COOPI also has a support and regional office in Nairobi.

Main responsibilities

Accountancy duties:

  • Management of the logistics petty cash and reporting monthly.
  • Maintain and update on monthly basis the COOPI/Project inventory and stocks, ensuring that all Assets are clearly coded.

Immigration & Customs:

  • Follow up on visa, work permits, and re-entry passes for expatriate staff in Kenya and Somalia and any other job-related countries.
  • Follow up on custom documents for cargo.

Travel and appointments

  • Fleet management

Procurements and supplies

  • Receive requests for materials from the project managers or project administrators or Sector Coordinators.
  • Requests for quotations analyse and forward recommendations for approval.
  • Processing local purchase orders and submitting for financial approval.
  • Follow up the suppliers to deliver the ordered materials on time.
  • Proper packaging of cargo for delivery to areas of operation.
  • Preparation and updating of the suppliers’ database.
  • Keeping abreast with COOPI and donor procedures on goods and logistic issues.

Office equipment’s, supplies, and maintenance:

  • Ensure service and maintenance of all equipment and facilities.
  • Ensure availability of office supplies (stationary, cleaning, water, electricity and phone/internet connections)
  • Follow up with the owner and inform her/him of any problems or decisions taken in regard to the premises.

Communications and Security:

  • Regular communication to the operational areas.
  • Ensuring the correct functioning of all communication equipment.
  • Attending meeting concerning the security
  • Communicate the security issues to the concerned staff and organise/support re- location and/or evacuation.
  • Facilitate preparation and updating of security plans.
  • Organise security trainings for field staff.

Training:

  • Training of field logisticians on the required procedures of operations.

Supervision

  • Periodic field supervision of logistics.

    Skills and Qualifications

    Requirements (education required, years of experience, technical skills, soft skills)

    ESSENTIAL

    Degree/Diploma in Business Administration, Procurement, Logistics Economics, Rural or related subject, with previous experience working in developmental projects

    DESIRED

    • Experience working in the INGO at a similar role is an added advantage.
    • Familiar with the context in Somalia
    • Excellent working knowledge of Microsoft Office programming (Access, Outlook, Excel, Power Point, and Word).
    • High professional ethics and integrity, Good interpersonal and organizing skills, Strong communication skills.
    • Willing and able to be based and travel regularly within remote areas, where services are limited.
