Job Title: HR Associate (HR System Expert and Contract Management)

What will you do?
- Act as the HR focal point for contract management (all contract types) for hiring managers and for all employees/staff members.
- Provide timely information on any contract related query. Analyse and respond to various internal and external queries through GSMT (ticketing system) to ensure that internal clients are well-informed and that HR team activities are aligned with broader WFP objectives.
- Manage the issuance of new contracts and contract extensions in a proactive, time-effective, and accurate manner with a customer centric approach.
- Manage end-to-end the TDY assignments and take all the needed administrative and system actions.
- Provide the needed onboarding/training to newcomers about their contract terms and conditions ensuring a smooth onboarding.
- Issue the HR Letters as required by employees/staff members. Work closely with ICT to automate this process.
- Contribute to the HR Dashboard by providing timely and relevant HR metrics related to area of work (contract management, HR Systems, etc). Provide any other data analysis upon request.
- Support with new HR System implementation (including the new Human Capital Management System) through process mapping, system testing, piloting, training and communication and through acting as the first point of contact for HR system queries.
- Act as HR System expert and provide the needed HR System training to any HR team member. Escalate complex system issues with RBN or HQ Subject Matter Expert.
- Analyse system implications of the newly announced policies/procedures, develop training materials as required and deliver training sessions to ensure clear understanding of the innovations and consistent application across the country office.
- Act as Local Process Expert for assigned countries in the region after being duly trained by HQ HR System Unit (HRMOI).
- Identify evolving needs of the organization, keep abreast with HR best practices and recommend changes in HR operations, processes and procedures, HR systems, HR reporting mechanisms to support improvements in HR services.
Skills and Qualifications
Do you meet the minimum requirements?
Education: Bachelor’s degree in human resource management, Public or Business Administration, Industrial Psychology or other relevant field.
Experience: At least 6 years or more of relevant experience in a general Human Resource Administration role requiring a very high level of precision, accuracy and attention to detail.
Language: Fluency in oral and written communication in English and Somali.

- Interest in reviewing, optimizing, improving work processes.
- Technology savviness. Ideally, work experience working with HR software.
- Advanced knowledge of MS Office package (Teams, PowerPoint, Excel, Word, and Outlook).
- Proficiency and passion for analyzing and reporting data.
- Understands and applies good practices in customer service.
- Ability to identify data discrepancies and rectify problems requiring attention.
- Enthusiastic, positive and takes initiative to propose and to implement new ideas and improvements.
