How can you make a difference?

Under general supervision of the Chief of Field Office, performs a variety of specialized tasks in support of the preparation, monitoring, and control of the programme budget, involving several different sources of funds and several programmes. In addition, the incumbent performs front office functions for Head of Zone office

Summary of key accountabilities:

  • Maintain and run zone office budget systems with special focus on budget monitoring and preparation of monthly reports on programme budget utilization for use by programme manager and project officers for management and decision making.
  • Review agreements and programme budgets including certifying the use of the applicable rates while developing agreements by programmes.
  • Maintain office standard rates for reference as and when sections planning/budgeting for training/workshop/PCA/SSFSA.
  • Maintain an updated list of all zone office DCTs and status of reporting/liquidations and reimbursements. Forward documents and follow up with USSC on DCTs above the zone office ceilings to ensure timely liquidations.
  • Review all agreements for consistency with agreed format and process and then register, and transmit partner profile checklist and power of attorney to USSC – PCU for PROMs Registration and completes all relevant documents including LCC for filing.
  • Maintain overall files of the coordination section, including the central filing system of the unit and front office, containing information on NGO and CBO profiles, agreements, partner assessments and check lists, LCC minutes relating to PCAs and other relevant files relevant for programme coordination.
  • Receives incoming mail and correspondences to the front office and for other sub –offices, log and screen and provide background information. Coordinate meetings -ZMTs, reviews and takes minutes as appropriately prepare-elated background information for external visits in collaboration with liaison officers. Maintain calendar of the head of the office and updated list of contacts and counterparts.
  • Arranges appointments and maintains supervisor’s calendar, receives high-ranking visitors, places and screens telephone calls and answers queries with discretion
  • Maintains policy, confidential and general management files.
  • Keeps lists of names, addresses and telephone numbers of ministers, government officials and members of the diplomatic corps

To qualify as an advocate for every child you will have…

  • Completion of secondary education.  Knowledge of automated budgeting and accounting systems and of the budget preparation and implementation processes in the organization is a requirement.
  • A minimum of six years experience in budget or financial-related work of the organization is required.
  • Training in financial management and accounting principles is a requirement. Experience in Front office related support is an added advantage.
  • Fluency in English and local language is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) is an asset.
